How to use this calculator
- Choose a seven-day or fourteen-day CSV download, or open the printable form.
- Add the period start, daily in/out times, unpaid break minutes, and any notes in your spreadsheet.
- Use the calculator to check the completed totals, then save a dated copy through your normal recordkeeping process.
Formula
For each day, total the worked segments and subtract unpaid break minutes. Convert the final minutes to decimal hours by dividing by sixty. A blank template records inputs; the live calculator performs the arithmetic and overtime allocation for a completed card.
Worked examples
A filled weekly template check
Schedule: 8:00 + 7:30 + 8:00 + 8:30 + 8:00 of net worked time. The engine calculates 40:00 (40.00 hours).
Regular: 40:00 (40.00 h); overtime: 0:00 (0.00 h); double time: 0:00 (0.00 h). At $24.00 per hour, estimated gross pay is $960.00.
Weekly and biweekly CSV downloads
The downloads are genuine comma-separated text files, so Excel can open them and Google Sheets can import them. They are not disguised Excel workbooks and contain no macros or payroll formulas. The weekly version has seven daily rows; the biweekly version has fourteen rows with a week column. Fill the period dates before sharing the file so the weekday order is unambiguous. Save your edited sheet as a separate dated copy if you want to preserve the blank original.
Printable timesheet and spreadsheet workflow
The printable form leaves space for a name, period, punch times, breaks, and totals. Use your browser’s print dialog to choose paper or save a PDF. A blank form cannot verify whether the entered hours were worked or whether the proper overtime rule was applied. Calculate totals with the shared card, then compare them with the handwritten or spreadsheet record. For two-week periods, calculate overtime independently in each workweek instead of using the combined hours alone.
Preserve a blank original
After downloading a template, keep an untouched copy and name each completed record by its actual date range. CSV preserves values and columns but does not retain rich print formatting, so use the dedicated printable form for a clean paper handout. If you add your own spreadsheet formulas, check them against a simple known shift before using the sheet for a full period. The supplied template and calculator remain independent ways to record and check the same inputs.
Frequently asked questions
Can I use this timecard template in Google Sheets?
Yes. Download the CSV and use the import command in Google Sheets. Review the detected delimiter and column types, especially any field that you want preserved as a literal H:MM value.
Are the files native Excel workbooks?
No. They are plainly labeled CSV files that spreadsheet applications can open. Save an edited copy as a workbook from your application if you need native formatting or formulas.
Does the template calculate overtime automatically?
The blank CSV is a record form, not a formula workbook. The calculator on this page supplies the calculation, and the biweekly calculator keeps two workweeks separate when you need a fourteen-day total.
