How to use this calculator
- Choose the first date of your workweek and the appropriate overtime rule.
- Enter each in/out pair; add another punch for split shifts, and enter unpaid break minutes only when no punch gap covers that break.
- Add an hourly rate to estimate gross pay, then print, copy, or download the completed card.
Formula
Worked minutes = sum of out minus in for each segment, less unpaid break minutes. Divide by sixty for decimal hours. Allocate worked minutes using the selected overtime rule, then multiply each hour bucket by its rate and multiplier.
Worked examples
Five eight-hour days
Schedule: 8:00 + 8:00 + 8:00 + 8:00 + 8:00 of net worked time. The engine calculates 40:00 (40.00 hours).
Regular: 40:00 (40.00 h); overtime: 0:00 (0.00 h); double time: 0:00 (0.00 h). At $24.00 per hour, estimated gross pay is $960.00.
Timecard calculator for an ordinary workweek
Start with your actual records rather than your planned schedule. A late departure, an early arrival, and a short unpaid meal each affect the final total. The initial card provides five weekday rows and two empty days so a normal week is easy to edit. Add weekend punches when you actually work them. Each row shows a clock-style duration alongside decimal hours, allowing you to compare the result with a payroll entry.
Time clock calculator exports
CSV exports contain the daily worked total and the regular, overtime, and double-time allocations. A summary PDF is available from the calculator, and Print uses your browser’s print dialog. Include your original punch records when reviewing a discrepancy: a calculated summary cannot establish whether a missing punch was worked. Set your employer’s workweek boundary before using the overtime columns, especially when your pay period spans more than one week.
Before you finish the card
Use Clear all punches to start with an empty card before recording a new period. Undo clear restores the previous punches. Because the tool works without an account, a browser draft is convenient but is not a permanent archive. Save a dated export when the record matters. Review any blank rate field before interpreting the gross-pay display: a dash means you have not entered a rate, rather than a promise of zero earnings.
Overnight shifts and workday attribution
Each punch segment belongs entirely to the day it starts. An out time earlier than the in time crosses midnight. Daily totals, daily overtime, California seventh-day overtime, and weekly overtime all use that start-day attribution, including across a biweekly boundary. California daily overtime counts all hours attributed to that 24-hour workday. Employers may define a different fixed 24-hour workday, such as one starting at 6:00 a.m., so payroll results can differ.
Frequently asked questions
Is this free time card calculator private?
The card is saved to localStorage in this browser. There is no account upload. On a shared computer, clear your draft after exporting and remember that downloaded files remain on that computer.
Why do decimal hours differ from hours and minutes?
Minutes are fractions of sixty, so 7:30 means 7.50 hours. Do not type 7.30 into a payroll field expecting seven and a half hours. The tool displays both formats to make the distinction visible.
How are overnight shifts counted?
A 10pm–6am segment counts as eight hours on its start day. A 6pm–8am segment counts as fourteen hours there, giving eight regular, four overtime, and two double-time hours under standard California rules. It stays in the starting workweek. An employer’s different fixed 24-hour workday, such as 6:00 a.m. to 6:00 a.m., can change the result.
